01First contact

Make the first call count

A customer should know that you heard their request, whether you can help, and what happens next. One reliable inquiry routine makes that easier on a busy day.

  1. Choose one place to capture inquiries from phone, email, and website messages. Record the request and who will respond.
  2. Set a realistic response window during your stated business hours. Make your availability and emergency arrangements clear.
  3. End each conversation with a specific next step. If you cannot help, say so promptly rather than leaving the customer waiting.

02Understanding and selling

Help the customer make a confident decision

Good selling starts with understanding the problem and what matters to the customer. Clear explanations and suitable choices build confidence in the decision.

  1. Ask about the problem, the desired outcome, timing, and any concerns before recommending work.
  2. Explain suitable options in everyday language, including scope, trade-offs, and the value of doing the work correctly.
  3. Check understanding, invite questions, and ask what the customer would like to do next. Avoid pressure, false urgency, and unnecessary work.

03Estimates and follow-up

Give every estimate a next step

An estimate is a conversation to manage, not just a document to send. A clear scope and an agreed follow-up help customers reach a decision.

  1. Put the scope, inclusions, exclusions, price basis, and any actual validity period in writing.
  2. Check that the customer received the estimate and agree on an appropriate time to follow up.
  3. Track each estimate as open, accepted, declined, postponed, or no response. Respect requests to stop contacting the customer.

04Scheduling and communication

Keep customers informed before the visit

Customers arrange their day around a visit. Clear confirmations and timely updates reduce uncertainty and help your team arrive prepared.

  1. Confirm the service address, arrival window, access arrangements, and agreed work in one place.
  2. Tell customers promptly when your timing changes. Give a realistic revised plan instead of a promise you cannot keep.
  3. Record questions, access needs, and approved changes so the person doing the job has the latest information.

05Service delivery

Finish the job with a clear handoff

The final few minutes of a visit shape what a customer remembers. Explain what you did, leave the area tidy, and make the next step easy to understand.

  1. Introduce yourself, confirm the work, and treat the customer’s property with care.
  2. Explain completed work, demonstrate relevant controls, and give applicable care or maintenance instructions.
  3. Provide clear paperwork and a way to raise concerns. Check for unanswered questions before leaving.

06Complaints and recovery

Turn a concern into a clear next step

A concern needs an owner and a response the customer can rely on. Listen carefully, explain the next step, and keep the promises you make while resolving it.

  1. Let the customer explain the concern. Summarize what you heard and check that you understood it.
  2. Assign responsibility, agree on a realistic update time, and document what you are going to do.
  3. Check back after the response. Look for a process improvement without demanding that the customer remove a review.

07Customer retention

Earn the next call

A lasting relationship grows from useful, welcome contact. Check on completed work, make honest feedback easy, and respect the customer’s preferences.

  1. Follow up after completed work when appropriate and make it easy for the customer to ask a question.
  2. Invite honest reviews neutrally. Do not reward a particular rating or reserve public review invitations for happy customers.
  3. Record agreed maintenance reminders and communication preferences. Make it easy to stop optional messages.

08Records and organization

Make good follow-through repeatable

Reliable records help the next person act on what was promised. Start with the essentials and a routine that is simple enough to keep current.

  1. Keep contact details, job history, estimates, and next actions in one reliable place with appropriate access.
  2. Give each open commitment an owner and due date. A sole owner still benefits from recording these clearly.
  3. Review open inquiries and estimates regularly. Keep records accurate and limit personal information to what your work actually needs.

THE TRADESPROCRM CUSTOMER RELATIONSHIP ASSESSMENT

Your next good habit starts here.

Answer for your business over the past 90 days. Choose how consistently each statement is true. Use N/A only when it does not apply to your business.

0 of 20 answered

No account or email needed. Your score is calculated in your browser. Answers are sent only if you choose to email your report.

How is the score calculated?

Never = 0, Rarely = 1, Sometimes = 2, Usually = 3, Consistently = 4. N/A is excluded. A category needs at least 2 applicable answers. The overall score is the equal-weight average of usable categories, requiring at least 6 usable categories and 14 applicable answers overall. Percentages are rounded for display.

0–39: Build the foundation. 40–59: Build consistency. 60–79: On the right track. 80–100: Strong routines. These are our educational ranges, not industry benchmarks. The assessment is a self-reported baseline, not an audit or a revenue forecast.
